What do the issue statuses mean and how is follow-up recorded?
Status names may be adjusted for a client workflow, but a common CIC structure is:
- New — the issue was first identified in the current inspection.
- Continuing — the issue was previously recorded and remains unresolved.
- Pending — action, information or verification is still required.
- Cleared — the issue has been corrected and the close-out has been verified.
- Not applicable — the check does not apply to that location or inspection.
A status should show what happened next, not only what the inspector observed. Where an action is required, the record can include the responsible person or team, priority, target date, notes and follow-up evidence.
A repeat or continuing issue should remain linked to its history so managers do not need to compare separate spreadsheets manually.
Only mark an issue as cleared after the response has been checked. Depending on the agreed workflow, that may require a close-out photo, a reinspection or manager approval.
